What Append footer is

Admin console → Apps → Google Workspace → Gmail → Compliance → Append footer. It attaches a block of text to outbound mail at the routing layer. It exists for regulated-industry disclaimers, and for that job it's fine.

Its exact limitations

  • No HTML authoring, a rich-text editor only, so no real layout, no tables, no proper signature design.
  • No personalisation. There are no merge fields, the footer cannot contain the sender's name, title or phone. Granularity is the organisational unit, so per-person 'signatures' would need one OU per person.
  • Senders never see it. It's appended in transit, below the quoted thread, where most recipients never scroll.
  • Images only by public URL, Drive-hosted images not permitted, 10,000-character cap, and up to 24 hours to propagate after changes.

The honest verdict

Use Append footer for the legal boilerplate that must appear on every message from a routing guarantee. Use a signature tool for the thing under each person's name, their details, your brand, campaign banners, and links you can measure. Many companies correctly use both.
