Email Signature Compliance for Google Workspace Companies
Legal disclaimers, regulatory identification and GDPR-safe tracking in company email signatures, what's required and how to implement it without mail-flow surgery.
01
What belongs in a compliant signature
- Company registration details, several jurisdictions require registered name, number and office on business email (the UK Companies Act does for companies).
- Regulated-profession identifiers: SRA/bar numbers, FCA references, GMC/GDC/NMC registrations, licence numbers.
- Confidentiality/privilege notices where your sector expects them, short ones; length adds no enforceability.
- Imprint requirements for markets like Germany (Impressumspflicht extends to business email).
02
Enforce it centrally or it isn't compliance
A policy document asking staff to include the disclaimer is hope, not compliance. Locked template fields make the disclaimer un-removable and org-wide changes instant: legal edits one template, everyone's mail carries the new text the same day.
03
The tracking-pixel problem
UK and EU regulators now treat open-tracking pixels in email as terminal-equipment access needing consent, like cookies. A pixel in a signature fires against every recipient of every email, none of whom consented; that's a liability your signature vendor may be quietly creating for you. Sincerely doesn't ship pixels at all: click tracking only, with hashed IPs and a public explanation page you can point anyone at.
