Why team signatures drift

Day one, everyone pastes the template. Month three, someone's changed the font, two people have old titles, and the new starter improvised. Drift isn't a discipline problem, it's what happens when the system is 'paste and pray'.

Locked fields: the fix

In Sincerely, admins design the template and choose which fields members may edit, typically name, title, mobile, photo. Everything else is locked server-side: the logo, colours, layout, banner and legal text can't drift because they can't be edited. Members see a padlock, brand sees consistency.

Self-serve without passwords

Each member gets a personal portal link showing exactly one thing: their signature and an install button. No password, no training, no ticket. The dashboard shows who's installed and current, and nudges the stragglers with one click.
